Logging In
Navigate to the Sign In page and enter your credentials. Once authenticated, you'll land on your Dashboard. Your name, level, and XP are visible in the top-right corner at all times.
Your Profile
Click your profile chip in the top-right nav to access your profile page. Here you can set your display name, username, and customize your profile color and avatar style as you level up. Changes save automatically.
Navigation
The top nav gives you quick access to every section: Dashboard, Properties, Prospecting List, The Pit, Map, and Add Property. Admins also see Admin and Imports links.
Property Database
Adding a Property
Click Add Property in the nav. Fill in the address, city, state, and zip — these are required. Owner name, phone, email, company, and notes are optional but earn you XP. The more you fill in, the more XP you earn at creation.
Save vs. Save and Claim
Saving a property adds it to the database without claiming it. Save and Claim immediately puts it in your prospecting queue. If both owner name and phone are filled, the button upgrades to Save and Claim Ownership, marking the property as fully researched.
Searching & Filtering
On the Properties page, use the search bar to filter by address, owner name, or company. You can also filter by claim status (unclaimed, claimed, owned) and by tags.
Property Detail
Click any property to open its full record. You can edit all fields, add tags, view the claim status, log call notes, and see research progress. Editing fields you fill in for the first time awards XP.
Tags
Tags help categorize properties (e.g., 'industrial', 'retail', 'follow-up'). Type to search or create a tag when editing a property. Admins can delete incorrect tags from the Admin page.
Claim System
Claiming a Property
Claiming a property moves it into your Prospecting List and signals to your team that you are working this lead. Only one person can hold a claim on a property at a time.
Properties in Another User's Territory
If a property sits inside a territory owned by someone else, you can still research it and earn XP for the work you put in. Use the claim request workflow to formally request ownership if needed.
Completing Ownership
Once you have confirmed the owner's name and phone number, the property is eligible for 'owned' status. Fill in both fields and use Save and Claim Ownership to mark it complete. This is the highest research milestone.
Releasing a Claim
If you no longer plan to work a property, you can release your claim so a teammate can pick it up. This is done from the property detail page.
Prospecting List
What Is It?
Your Prospecting List is your personal work queue — every property you've claimed appears here. It sorts by research completeness and recency so your most actionable leads stay at the top.
Logging Activity
From the Prospecting List or a property's detail page, you can log call attempts, meetings, and outcomes. This keeps a timestamped history attached to the record.
Moving Properties Forward
Update the research fields as you gather information. As you fill in owner name, phone, email, and company, the property's completeness score rises and it moves closer to ownership status.
Map & Territories
The Interactive Map
The Map page plots every property in the database as a pin. Pin colors correspond to territory ownership so you can see at a glance who is working which area.
Territory Zones
Admins define territory boundaries by drawing polygon zones on the map. Each zone is assigned to a team member. Properties inside your zone are considered your primary territory.
Finding Opportunities
Zoom in on any area to look for unclaimed pins. Unclaimed properties are fair game — claim them from the map popup or from the property detail page.
The Pit
What Is The Pit?
The Pit is where completed deals live. Once a property has been fully researched and closed out, it gets sent to The Pit and removed from active prospecting lists.
Sending to The Pit
From a property's detail page, use the Send to Pit action when the deal is done. The record remains visible in The Pit for historical reference but no longer appears in active views.
XP & Leveling
Earning XP
You earn XP for research activity: adding a property (+2 XP), confirming an owner name (+2 XP), confirming a phone number (+3 XP), and other prospecting actions. XP adds up over time — there is no shortcut.
Levels
XP accumulates toward your level. Higher levels unlock profile customizations — new color options and avatar styles. Your current level and XP are always visible in your profile chip.
Streaks & Leaderboard
Stay active daily to maintain your streak. The leaderboard on the Dashboard shows how your XP compares to teammates, updated in real time.
Level-Gated Customizations
Profile color palettes and avatar styles are unlocked at specific levels. Visit your profile page to preview what's unlocked and equip your current loadout.
Admin Tools
Who Has Admin Access?
Admin access is assigned by the system owner. Admins see two extra nav items: Admin and Imports.
Dashboard Announcements
Admins can post announcements visible to all users on the Dashboard. The editor supports basic formatting: headers, bold, italic, underline, bullets, numbered lists, and colored text.
Tag Management
The Admin page includes a tag manager where you can search all tags, see how many properties use each tag, and delete tags that were created incorrectly.
CSV Imports
The Imports page (admin-only) lets you upload a CSV file to bulk-add properties. The system handles messy column naming, merges first/last name fields into owner name, and deduplicates against existing records.
